PROOF: The POS 360™ — Data and Ownership Policy

This policy explains what we collect when someone takes PROOF: The POS 360™, who sees what, and how long we keep it. Our principle is simple: honest feedback depends on confidentiality, and confidentiality depends on promises we can keep.
What PROOF is for
Development only. PROOF is not a performance review, a psychological or clinical assessment, or a hiring or selection tool.
What we collect
- From the leader: name, email, and the names and email addresses of the raters they invite.
- From raters: their answers and comments, stored separately from their names and email addresses.
- From an organization that arranges PROOF: the sponsor's name and contact details.
Who sees what
- The leader: their own full report.
- The sponsor (only when an organization arranged PROOF): the full report for its leaders, completion status, and a team picture once at least three leaders have completed PROOF. Never a report the leader bought on their own, unless the leader shares it.
- Raters: nothing about anyone else's answers.
- Our team at Dove Development & Consulting, and anyone working with us under the same confidentiality commitments: every answer and comment, without names, in order to prepare reports. We also use secure software tools, including AI tools, to help organize answers and draft reports. They work under our direction and only ever handle answers without names. Anyone who later delivers PROOF under license from us follows this same policy.
How answers are protected
- Raters' names are never attached to their answers, and answers are stored so that not even we can match them back to a rater.
- Peers and direct reports need at least three responses to be shown as their own group. Smaller groups, and their comments, are combined with another group first.
- Manager and board views are shown on their own, and those raters are told so before they begin.
- Comments are edited only to remove details that could identify the writer.
- Rater email addresses are used only for invitations and reminders.
How long we keep it
We keep PROOF data while the leader or organization is working with us. Three years after the last activity, we review it and delete it unless there's a good reason to keep it, such as an organization that wants to look back at how its leadership has changed. Leaders who bought PROOF on their own can ask us to delete their report at any time.
What we never do
We never sell PROOF data or share it with anyone outside what this policy describes. We may use answers with all identifying details removed to improve the survey and to build comparisons over time.
